1. Agreement to Terms

These Terms of Service ("Terms") govern your use of PosterPro.io ("we", "us", or "our") website and services (collectively, the "Service"). By accessing or using our Service, you agree to be bound by these Terms.

If you disagree with any part of these terms, then you may not access the Service.

2. Description of Service

PosterPro.io is an AI-powered platform that helps users create academic and research posters. Our Service includes: (i) AI-powered poster creation tools and templates; (ii) document upload and content extraction features; (iii) design assistance and customization options; (iv) visual and diagram generation from poster section content (e.g. the Graphs feature); (v) export and download capabilities; (vi) user account management and storage; and (vii) premium subscription features. Use of AI features may involve third-party AI providers as described in our Privacy Policy and AI Usage Guidance.

Beta Service Notice: PosterPro.io is currently in beta testing. While we strive to provide a stable and reliable service, you acknowledge that the Service may contain errors, bugs, or other issues. We reserve the right to modify, suspend, or discontinue any aspect of the Service at any time during the beta period. Your use of the Service during beta is at your own risk.

3. User Accounts

3.1 Age Restrictions

You must be at least 13 years of age to use our Service. If you are under 18 years of age, you represent that you have obtained parental or guardian consent to use the Service and agree to these Terms. If you are under 13 years of age, you may not use the Service. We reserve the right to request proof of age at any time and to terminate accounts of users who do not meet age requirements.

3.2 Account Creation

To access certain features of our Service, you may need to create an account. You agree to: (i) provide accurate, current, and complete information; (ii) maintain and update your account information; (iii) keep your password secure and confidential; (iv) accept responsibility for all activities under your account; and (v) notify us immediately of any unauthorized use.

3.3 Account Types

We offer different account types with varying levels of access: (i) Free: Full account access with basic poster creation features; (ii) Premium: Advanced features, premium templates, and priority support; and (iii) Founder: A special tier with premium benefits.

4. Acceptable Use

You agree to use our Service only for lawful purposes and in accordance with these Terms. You agree not to:

4.1 Prohibited Activities

You agree not to: (i) violate any applicable laws or regulations; (ii) infringe on intellectual property rights; (iii) transmit harmful or malicious code; (iv) attempt to gain unauthorized access; or (v) interfere with Service operation.

4.2 Content Restrictions

You agree not to: (i) upload inappropriate content; (ii) share copyrighted material without authorization; (iii) post offensive or harmful content; (iv) spam or send unsolicited messages; or (v) impersonate others.

5. Intellectual Property Rights

5.1 Our Content

The Service and its original content, features, and functionality are owned by PosterPro.io and are protected by international copyright, trademark, patent, trade secret, and other intellectual property laws.

5.2 Your Content

You retain ownership of any content you upload, create, or generate using our Service ("User Content"). By using our Service, you grant us a limited, non-exclusive, royalty-free license to: (i) process and store your content to provide the Service; (ii) display your content as part of the Service; (iii) create backups and ensure data security; and (iv) improve our Service through aggregated, anonymized data.

5.3 Templates and Designs

Our poster templates and design elements are provided under license. You may use them for your academic and research purposes, but you may not redistribute, sell, or claim ownership of our templates.

6. Payment Terms

6.1 Subscription Plans

We offer free and premium subscription plans, and during the beta period a Founders plan. Premium plans are billed on a rolling monthly or annual basis and provide access to additional features and templates. The Founders plan is a one-time payment for lifetime access at early-access pricing, available only during the beta period and subject to the refund terms in section 6.4 below.

Founders LTD launch terms: (i) applies to the Individual tier only; (ii) institutional/enterprise features are excluded; (iii) launch quantities and pricing are fixed and declared upfront (25 seats at £59.99, 50 seats at £79.99, 25 seats at £99.99); (iv) no reopening occurs after 100 confirmed claims; and (v) AI generation remains subject to fair-use limits to protect service quality.

6.2 Billing and Payment

(i) All payments are processed securely through Stripe; (ii) subscriptions automatically renew unless cancelled; (iii) you will be charged in advance for each billing period; and (iv) we may change our pricing with 30 days' notice.

6.3 Cancellation

You may cancel your subscription at any time through your account settings or by emailing info@posterpro.io. Cancellation takes effect at the end of your current billing period unless stated otherwise by law. Refund eligibility and process are set out in section 6.4.

6.4 BETA Money-Back Guarantee

All refund requests must be made by email to nathan@posterpro.io stating your account email and reason for the request.

Premium (subscription): Requests are considered only for the current active billing period and must be submitted by email while your subscription is still active (before period end).

Annual Subscription and Founders plan: Requests are considered only if received by email, within 28 days of purchase. Any request received after 28 days of purchase will be automatically rejected.

Approval and processing: All refund decisions are made manually by PosterPro. If approved, refunds are issued to the original payment method through Stripe, subject to Stripe processing times and limitations.

After a refund: Upon refund approval, your account will be moved to the free plan and premium or founder access will be removed. Nothing in this section limits any non-waivable rights you may have under applicable consumer law.

7. Privacy and Data Protection

Your privacy is important to us. Our collection and use of personal information is governed by our Privacy Policy, which is incorporated into these Terms by reference.

We implement appropriate security measures to protect your data, but you acknowledge that no internet transmission is completely secure and that we cannot guarantee absolute security.

8. Service Availability

We strive to provide continuous service availability, but we do not guarantee that the Service will be available at all times. The Service may be temporarily unavailable due to: (i) scheduled maintenance and updates; (ii) technical difficulties or system failures; (iii) force majeure events beyond our control; or (iv) third-party service disruptions.

9. Limitation of Liability

To the maximum extent permitted by law, PosterPro.io shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to: (i) loss of profits, data, or business opportunities; (ii) service interruptions or downtime; (iii) errors or inaccuracies in generated content or generated visuals; or (iv) third-party actions or content.

Our total liability to you for any claims arising from these Terms or the Service shall not exceed the amount you paid us in the 12 months preceding the claim.

10. Termination

We may terminate or suspend your account and access to the Service immediately, without prior notice, for any reason, including if you breach these Terms.

Upon termination, your right to use the Service will cease immediately. We may delete your account and data after a reasonable period, and we are not obligated to provide you with access to your content.

11. Changes to Terms

We reserve the right to modify these Terms at any time. We will notify you of any material changes by posting the new Terms on this page and updating the "Last updated" date. Your continued use of the Service after such modifications constitutes acceptance of the updated Terms.

12. Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales, without regard to its conflict of law provisions. Any disputes arising from these Terms or the Service shall be resolved in the courts of England and Wales.

13. Severability

If any provision of these Terms is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary so that these Terms shall otherwise remain in full force and effect and enforceable.

14. Entire Agreement

These Terms, together with our Privacy Policy and Cookie Policy, constitute the entire agreement between you and PosterPro.io regarding the use of the Service and supersede all prior or contemporaneous communications, proposals, and agreements between you and PosterPro.io, whether oral or written.

15. Force Majeure

We shall not be liable for any failure or delay in performance under these Terms which is due to circumstances beyond our reasonable control, including but not limited to: (i) acts of God, natural disasters, or severe weather; (ii) war, terrorism, or civil unrest; (iii) pandemics or public health emergencies; (iv) government actions or regulations; (v) internet or telecommunications failures; (vi) cyberattacks or security breaches; or (vii) failures of third-party service providers. In such circumstances, we will use reasonable efforts to resume normal operations as soon as practicable.
